Logixa Technologies Inc. (operating as "Logixa AI," "we," "us," or "our") operates a managed Voice AI and telephony platform at logixa.ai and related subdomains (the "Platform"). This Privacy Policy explains how we collect, use, retain, disclose, and process personal information in connection with the Platform and our services.
This Policy applies to business clients ("Clients"), their representatives, independent sales organization partners ("ISOs/Partners"), callers who interact with AI phone services deployed through our Platform ("Callers"), and website visitors.
By using the Platform, signing a service agreement, or interacting with any telephone service deployed through our Platform, you consent to the practices described in this Policy.
2. Information We Collect
Directly from you:
- Account registration details (name, email, phone, business name, address)
- Payment and billing information
- ISO/Partner onboarding and banking details
- Client configuration data (business hours, menus, routing instructions, scripts)
- Support requests, emails, and other communications
Automatically:
- Call records including date, time, duration, caller ID, dialed number, call outcome, and disposition
- Voice recordings and audio files of all calls processed through the Platform
- AI-generated transcripts of telephone conversations
- Intent classification, sentiment data, and AI-derived call metadata
- Platform usage data (pages visited, features used, session duration)
- Device and access information (IP address, browser, OS, device identifiers)
- Infrastructure logs and technical diagnostics
From third parties:
- Information from Client business systems integrated via API
- Payment processor and fraud detection data
- Publicly available business information
3. How We Use Your Information
We use collected information to:
- Provision, configure, and operate AI telephony services
- Process and route calls and messages
- Generate transcripts, summaries, and call analytics for Clients and internal use
- Bill, invoice, and process payments
- Train, evaluate, fine-tune, and improve our AI models and algorithms
- Develop new features, products, and service tiers
- Analyze aggregated and anonymized call data to identify trends across verticals
- Build industry datasets and benchmarks using anonymized data
- Generate internal and client-facing performance reports
- Send transactional emails, call notifications, and weekly digest reports
- Market our services to prospects, Clients, ISOs, and Partners
- Detect, investigate, and prevent fraud, abuse, and unauthorized access
- Comply with applicable laws and legal obligations
- Enforce our Terms of Service and other agreements
You expressly consent to the use of call recordings, transcripts, and derived metadata for AI model training and product improvement, subject to the anonymization practices described in Section 6.
4. Legal Bases for Processing
Our primary legal framework is the Personal Information Protection and Electronic Documents Act (PIPEDA). We process personal information based on:
- Consent — express or implied, including notice-of-recording provided to Callers at the time of the call
- Contractual necessity — to fulfill our service agreements
- Legitimate interests — product improvement, fraud prevention, and marketing to existing customers
- Legal obligation — compliance with applicable laws
5. Disclosure of Your Information
We may share personal information with:
- Clients — call recordings, transcripts, analytics, and related data for deployed services
- Service providers and sub-processors — under confidentiality obligations
- ISOs/Partners — account-level information relevant to commission calculations
- Successors — in connection with a merger, acquisition, or asset sale
- Legal authorities — in response to lawful requests or to protect rights and safety
- Professional advisors — under confidentiality obligations
We do not sell personal information to third-party advertisers.
6. Data Anonymization and AI Training
We anonymize call transcripts and metadata prior to use in AI model training by removing or replacing direct personal identifiers while retaining call outcome, vertical classification, duration, escalation reason, and AI performance data. Anonymized data is not personal information under PIPEDA and may be used without restriction for any purpose including product development, research, or commercial exploitation, without notice or compensation to any party.
7. Feedback and Suggestions
Any feedback, suggestions, ideas, feature requests, or recommendations you provide to us regarding the Platform ("Feedback") are provided on a non-confidential basis. We own all Feedback and may use, reproduce, modify, incorporate, and commercialize any Feedback without restriction, compensation, or attribution. You assign all rights in Feedback to us and waive any moral rights therein.
8. Data Retention
- Call recordings — retained indefinitely; moved to cold storage after approximately four months
- Transcripts and metadata — retained indefinitely unless a Client requests deletion
- Account and billing records — retained for a minimum of seven years
- Anonymized data — retained indefinitely
Deletion requests are subject to our legal retention obligations and legitimate business interests.
9. Data Storage and Security
All personal information is stored on Canadian infrastructure. We implement industry-standard security measures. No security system is impenetrable and we do not guarantee absolute security. You assume the risk of providing information electronically.
10. Your Rights
You may request access, correction, or deletion of personal information by contacting privacy@logixa.ai. We will respond within 30 days and may require identity verification. Deletion requests are subject to our retention obligations.
11. Changes to This Policy
We may update this Policy at any time. The revised Policy will be posted at logixa.ai/privacy. Continued use of the Platform following any update constitutes acceptance.
